Job Description

About the Role:
The Executive Secretary provides comprehensive administrative and secretarial support to senior executives at Invesco Real Estate Investment team, ensuring efficient operation of the executive office and seamless coordination of schedules and communications.


Key Responsibilities:

  • Manage and maintain complex calendars, schedule meetings, appointments, and travel arrangements (domestic and international) for senior executives.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy, proper formatting, and adherence to company standards.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • * Process expense reports, invoices, and other financial documents, ensuring compliance with company policies.
  • Maintain an organized filing system (both physical and electronic) for easy retrieval of documents.
  • Coordinate and prepare material for internal and external events, conferences, and seminars.


Requirements.

  • Diploma holder of equivalent or a related field, with proven experience of 10 years+ as in Secretarial or similar administrative role supporting senior-level management, preferably within the asset management, PE, VC or real estate investment industry.
  • Good written and verbal communication skills in English and Cantonese; proficiency in additional language is a strong advantage.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong attention to detail and a high degree of accuracy in all work.
  • Ability to exercise discretion and maintain confidentiality.
  • Proactive, resourceful, and able to work independently.
  • A professional and collaborative team player.
