Job Summary:
Coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Performs activities under a moderate degree of supervision.
Key Responsibilities:
Provides administrative support by conducting research, preparing statistical reports and addressing routine information requests. Gathers, compiles and verifies information and enters it accurately into documents such as reports, presentations or forms; and office systems such as databases or spreadsheets. Assists with data collection, data entry and report generation on various departmental related activities. Assists with associate functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. Responds to, or redirects, routine inquiries from external or internal sources about the organization/department, its activities, or processes so callers/visitors are answered promptly and accurately. Prepares documentation for payment of vendors, suppliers and other third parties as applicable; submits documentation and enters request for payments into accounting system; responds to inquiries from accounts payable and payees. Documents and maintains departmental policies and procedures. Participates as a team member on departmental related business improvement assignments and projects as needed. Performs other routine administrative activities as needed per the established procedures of the organization and/or department.
Qualifications
Manejar el proceso de generación de ordenes de compra y conciliación con facturas.
Generación en el sistema de órdenes de compras requeridas para la operación, y realizar su respectivo recibido en el sistema. (Área administrativa y Servicios)
Recepción y elaboración SCR (Entradas al sistema) de Facturas proveedores y verificación con la respectiva orden de compra (Cumplimiento legal).
Revisión y control de legalizaciones del personal para envió al área de finanzas
Elaboración de legalización de la caja menor, gerencia y fondos fijos asignados al área de servicios.
Realizar el recibido de partes en el nuevo sistema para los diferentes proyectos, según instrucción específica del Depto. Servicios.
Organización de col para facturación o garantías sometidas a la corporación.
Soportar los aspectos administrativos de documentación e inspecciones mensuales de HSEQ, realización de actas de reuniones, reporte de horas extras, incapacidades y novedades del personal.
Organización de ordenes de venta para facturación o garantías sometidas a la corporación.
Soportar los aspectos administrativos de documentación e inspecciones mensuales de HSEQ, realización de actas de reuniones, reporte de horas extras, incapacidades y novedades del personal.
Programación y seguimiento a las compras de insumos para la sede. (Cafetería, Aseo, Papelería y Tóner de impresora)

Elaboracion de informes técnico de reparacion de motores en servicios no minero
Seguimiento a resultados de muestra de aceite lubricante
Desarrollar datos analíticos de la operación para poner en evidencia las tendencias y el desempeño de las flotas de proyectos especiales de servicio bajo su responsabilidad
Usar sistemas de información, herramientas y procedimientos comunes para permitir el análisis del desempeño de la flota. Administración de la base de dato de población de motores de servicios no minero
Proponer iniciativas que permitan mejorar la confiabilidad y disponibilidad del motor y sistemas asociados de la administracion de las flotas de los clientes - Contratos Marco

Education, Licenses, Certifications:
High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
Experience:
