About the Department / Team:
Global Product organization works closely with Investment Management and Client Coverage to build a world-class platform comprised of public and private funds, separate accounts, and other custom investment solutions, driving long-term value through innovative products and services. By leveraging our deep talent and experience, we aim to enhance revenue growth and profitability while ensuring our teams are aligned, coordinated and prioritized to meet evolving client demands.
Your Role:
The Administrative Assistant supports the Americas Product organization across the full product lifecycle, providing high‑level administrative partnership to the Global Product team. This role requires deep knowledge of company operations, strong judgment, and exceptional communication skills. The ideal candidate is highly organized, adaptable, and skilled at balancing multiple priorities while maintaining professionalism and discretion in all interactions.
Responsibilities of the Role:
- Manage calendars, schedules, and meeting logistics to ensure smooth workflow
- Coordinate internal, external, on-site, and off‑site meetings, including room setup, catering, and guest support
- Handle travel arrangements, reservations, and related logistics
- Prepare and process expense reports, invoices, and other administrative documentation
- Create detailed meeting invitations with attendees, locations, virtual links, agendas, and prep materials
- Maintain organized electronic files, phone coverage, and departmental onboarding support
- Provide administrative backup to team members and assist with editing memos and presentations
Requirements of the Role:
- Demonstrates professionalism, discretion, flexibility, and strong interpersonal communication
- Ability to adapt quickly in a fast‑paced, dynamic environment with shifting priorities
- 7+ years of combined Executive and Personal Assistant experience
- Proven reliability, consistency, and trust‑building with stakeholders while handling confidential information
- Exceptional written and verbal communication with strong organizational and customer‑service skills
- Proactive problem‑solver with high proficiency in Microsoft Office and experience supporting global teams
- Thrives in hyper‑growth environments and contributes positively to team impact
The pay range for this role's base is between $80,000 and $100,000 . This role is nonexempt and will be hourly.
