DESCRIPTION
The Administrative Associate – Level III provides comprehensive administrative and operational support to a team, department, or senior organizational leader. The role is responsible for coordinating documentation, managing schedules and travel logistics, organizing meetings and events, maintaining departmental records, and supporting budget and vendor-related activities. The position requires strong organizational skills, effective communication with global stakeholders, and the ability to manage multiple priorities with a high degree of confidentiality and professionalism. The individual works with limited supervision while ensuring accuracy, efficiency, and alignment with organizational procedures.
Experience - 5-7 years of relevant experience required.
Key Responsibilities Administrative and Operational Support
- Provide administrative support by conducting research, preparing reports, and addressing routine to complex information requests.
- Gather, compile, and verify information and accurately enter data into documents such as reports, presentations, forms, spreadsheets, and databases.
- Complete data collection, data entry, and report generation for departmental activities.
- Prepare correspondence, arrange conference calls, schedule meetings, and receive visitors as required.
- Respond to or redirect inquiries from internal and external stakeholders to ensure timely and accurate responses.
- Document and maintain departmental policies and procedures.
- Act as an informal resource for colleagues with less experience.
- Stakeholder management with global teams.
Email, Calendar, and Meeting Management
- Manage executive calendars effectively, prioritizing meetings and scheduling engagements.
- Scan and monitor leader emails, assist with prioritization, and support responses and follow-ups while maintaining strict confidentiality.
- Prepare and participate in team meetings (virtual and in-person), including creating and circulating agendas, minutes of meetings (MOM), and action plans.
- Track and follow up on action items and ensure clarity of ownership and timelines.
Travel Coordination
- Coordinate domestic and international travel arrangements including documentation, tickets, visas, hotel bookings, and local transportation.
- Plan and organize site visit agendas by coordinating stakeholder availability.
- Support visits of international leaders and guests, including logistics, meeting room arrangements, and local travel support.
General Administrative Coordination
- Maintain and update organizational charts and departmental records & confidential matters.
- Manage vendor coordination including orders, contracts, and payment documentation.
- Prepare documentation for vendor payments and submit requests into the accounting system.
- Support departmental budget tracking and financial administration activities.
- Coordinate meeting rooms, visitor logistics, and food arrangements when required.
- Support employee engagement and coordination activities such as Ergo Cup orders and EEEC-related activities.
- Participate in departmental improvement initiatives and administrative projects.

- Strong proficiency in Microsoft Office applications (Excel, PowerPoint, Word, Outlook).

- Familiarity with AI-enabled tools and applications is an added advantage.

Experience
- Significant relevant administrative experience supporting teams or senior leaders.
- Experience in calendar management, travel coordination, and meeting/event management .
- Experience in financial budget management and vendor coordination .
- Exposure to data reporting, documentation management, and process coordination .
- Experience working in a global or cross-functional environment is preferred.

QUALIFICATIONS
Qualifications
- High school diploma, secondary education certificate, or equivalent experience that meets applicable regulations.
- Additional administrative or business-related training is an advantage.
